  • 1.  Unused License reclaim

    Hi All,

    If a Maximo User drops from the application or leaves the organization:

    1. Is the user account removed from Maximo or just de-activated?
    2. How is that unused License re-claimed / re-used?
    3. Which Maximo applications / Tables support this feature?

    Please let me know.

    Hello Kaushik,

    I find that if I inactivate an account in the People application, they are automatically inactivated in the Basic user Administration application. Projetech has informed me that they prefer to leave that account in the system inactive so they may reactivate it if that person needs a license again.

    The license is then available for someone else to use when needed. I have a widget on my Start Center for End Users that allows me to keep a tally of my active licenses.

    Another thing to remember if deleting user and person records is that if any of the queries that are used in e.g. start centres were created by that user, these are also deleted which can cause major issues for users relying on these reports.

    We found this out the hard way when deleting user records that had never logged in to our production environment; the queries used by several of the start centres were made in a test environment, then promoted to production at go-live.  So although the user had never accessed production, they had accessed the test system...
    After a rather hurried repair, I also then changed the Result Set Setup screen to show not only the person who created the query but also the query itself.  A benefit of this is that if you are the user who created the public query then you can change the script via this window​ too.

    The law of unintended consequences keeps on giving!  And we keep learning!

    As Lynn mentions, changing users to INACTIVE is the way to go. Even if you "delete" a user, the underlying record is left in the database in a status of deleted so it just obscures it from you. It can't actually be removed without impacting referential integrity (who approved a PO, who completed a WO, who reported an issue, etc.). 

    From a licensing perspective, INACTIVE users should not be evaluated because it's the proper way to deprovision a user account.

    For the third question, I don't think I quite understand what you mean about the Maximo applications/tables that support the feature. Can you clarify what you're looking for here?​

    Thank you Steven. As per the 3rd question, I wanted to understand if OOB Maximo has any table that would help us to understand more about licenses:

    • Activating the License for a user.
    • Deactivating and the license becomes available again.
    • License count and usage statistics - Can we use the application License Usage Monitor here?
    I think we have to consider the Users and login tracking table and may have to develop some SQL queries to investigate this.

    Out of box license usage monitor is the supported way to identify user licensing requirements. The newer your version of Maximo the better as additional product support and various bug fixes have been done on each release. It will also require some configuration to define any of your custom applications to ensure licenses are properly calculated for your users.

    Something to be aware of is that starting in 7.6.1 IBM made token licensing available, which implements a hard check on licensing (users can't login if sufficient tokens aren't available). A similar model (App Points, which are specific to Maximo unlike the previous tokens) is currently the only way to license Maximo Application Suite (referred to also as Maximo 8.0). Understanding license types are still important (as an Authorized user uses more tokens/app points than a Limited user), but license compliance would be enforced automatically by the system in that scenario.
