  • 1.  Tracking changes made to PMs in the the Preventive Maintenance Application of Maximo

    What does your company do to track the many changes in the Preventive Maintenance application?  Do you ask for an email of the requested changes? Do you have your employees put in a Service Desk ticket?  Do you keep a running spreadsheet documenting the date, time, and reason a change was made to a PM?

    And by changes, here are some examples:

    • Changing a PM from the ACTIVE status to INACTIVE
    • Changing a Supervisor or Lead on the PM
    • Changing the frequency of a PM (ex: from monthly to quarterly)

    As far as I know, the PM application offers no memo for history changes of PMs.  I wish it did.  Wondering what everyone else is doing to track these changes.

    Hi, Lindsay. We had the same issues with tracking changes to our PMs. We don't have a work flow established for editing PM records.

    To help, we asked Projetech to enable the PM Audit History and add it as a tab to our PM records (snip attached). Each time a change is made to the PM (more specifically, when the record is saved), a new line is added to the Audit History. We had columns added for the fields we most wanted to track changes to.

    It's not perfect, and is certainly not as clean as viewing the history of assets or work orders, but it does help us narrow down who performs certain changes.

    Thank you for your help!  This is something I am exploring with Projetech currently.  I love that we can customize the columns of what we want to track.  The only thing I'd love to see is a place to place a note where I can indicate who requested the change and/or reason behind the change.

    Hi Lindsay,

    I had recently implemented the option to enable the status history option on the PM application where we can see the complete status history for all the PMs.After the implementation,I had updated all the PM status for the existing PMs by creating a cursor (PM/SQL block) and inserting into the PM status object from the PM object.

    We had to write java customization to achieve this option and would be happy to help with the classes which we developed as well as the cursor code.

    We use a similar approach as Kristina described with the PM Audit History but also structured it to capture certain attributes that get changed (see below).  Additionally, we are working on creating a Log Notes tab for PM where more details can be added as to why the change occurred.  Specifically, if changes are made due to regulatory updates we want to be able to add related details.  We are also in the middle of a PM Optimization effort where this information would provide use from a consistency stand point across multiple facilities.

    I love the idea of the log notes tab.  I've asked Projetech to look into this for a place where I can add additional notes in the PM record as to who and/or why the change(s) was made.

    It's great to see that eAudit is being used.  It has its issues, in that it does not have a memo capability.  What is being missed is the use of eSignature which does support recording of a reason for the change.

    There is a video on esig/eaudit and how they are related on youtube, and although it is nearly a decade old, I think connects electronic signature and record to perhaps get you what you are looking for, or is at least a good start even though it is almost 10 years old. ​
