  • 1.  Job Plan and Work Order Tasks - yes or no?

    I have received fabulous information on my last two questions, so here is another one for you...

    Prior to Maximo 6, Job Plan tasks were just a simple to-do list on the job plan and the work order. In version 6, there was an architectural change to make each job plan and work order task its own stand-alone work order with the class of "Activity" to allow it to flow into applications like the Activities & Tasks application. I have recently been working with a few organizations that are NEW to Maximo, fresh implementations. All of them have some type of tie into timekeeping software that ONLY lets them bill at the work order level. 

    If the users cannot bill time or materials to these job plan/work order tasks, wouldn't it be better to simply create a job list in the long description of the job plan/work order that can easily be copied and pasted into a log entry and checked off as completed. This method would also automatically be included in the work order details report for those still working from printed work orders. Finally, one of the organizations had been using very detailed SOPs that have always been accessed via their SharePoint server. It seemed to make more sense to attach the URL for each SOP in SharePoint to the job plan than to actually recreate it as tasks in the job plan.

    What do you think? If you had it to do again (or could update your current job plans) and you were not billing time or materials, etc to the tasks, would you still create job plan/ work order tasks? If so, why? What would be the purpose of the tasks?

    Hi, Anne. Our organization has used Maximo for several years, and we have only recently started using job plans on PM work. Many of our sites still prefer to list the tasks in the long description, which prints out in the work order details report. Some also attach checklists or SOPs. Completed checklists are then reattached to the work order. That has worked very well for us - it's a very simple and low-maintenance way to manage planned work. 

    The main benefit we gain from job plans is the estimated duration. It's great for PM forecasting and planning. In the past we have made job plans without any tasks, so only the duration carries over to the work order. However, on work with a long list of tasks to perform, it can be nice to have them in the job plan so the tech can mark individual tasks as COMP without fully completing the work order. It's just another layer of information for our supervisors.

    I have used to work with Maximo from version 4 and it's updates (local and customized), so remembered how it was simple to compare plan vs actuals where was no item in JP module, but only in WO. Current approach which IBM turned on from version 6x is fairly clear from one point of view but little tricky from another.
    As for usage of long description or links or attachments I am personally against it, as it turns to challengeable way to treat data later. The normal functionality of JP-s are fairly complete to analyze work history, forecast loads/budget and plan big amount of work in companies.
