  • 1.  How does your organization manage Change Requests / Database Updates / Data Additions

    Hi All, and thanks in advance for any input of this subject.

    We as an organization manage Database Changes/Updates in a somewhat antiquated method using Change Request Forms and Spreadsheets submitted to a team of Administrators (or Data Entry Clerks if you like). I am interested to know if there is a better vehicle/method out there that anyone knows of or have experienced that your clients/end users are utilizing?

    We currently use Integration and MxLoader for dataloads of varying sizes with templates built in house, however we are looking for a more modern/technological solution for the end user to create and submit the change requests.

    N.B. I am currently looking into the SR/Service desk option however it doesn't seem like this will suffice in the larger or more complicated Changes/Updates

    Hi Rob, we utilize a combination of Service Now and Jira, however, if you are not using any applications like that for any other business processes it might not be a cost effective solution. We do utilize SRs and have created a workflow for them for service/work requests. What are your concerns for it not working with the larger or more complicated changes/updates?

    Thanks Adam, and sorry for the delay in replying!

    I had previously looked at 'Work Management Tool' such as Jira and yes it probably wouldn't be cost effective. and much of the issue in the past has been that not all field techs/engineers etc. don't use Maximo. (this will change I'm determined!!)

    My plan is to use a combination of SR/Workflow for the smaller more manageable updates such as Work Deferrals, Follow-up work, singular Location/Asset changes etc. 

    I was more interested/concerned in the communities experiences in methods for the larger Data change requests. for example providing/requesting 100+ new Locations/Assets (and associated data) and adding the maintenance programs, or managing large plant changes/project work. we currently work directly from the GOC/MOC workpacks and such, which can prove to be heavy on data inputting at one stage or another.

    Thanks again you have affirmed my theory that it probably would be a third party solution or an in-house system custom built.

    If you're looking for something ITIL-aligned, core Maximo alone won't really meet that need.  If you want a native solution, you'd want Maximo IT (fka Control Desk).  Otherwise, like Adam said you'd need an integration to a third-party system.

    Hi Rob,

    A bit like Adam, our Maximo Admins work in Agile teams, using Jira as their work management tool. So even if someone makes a direct request of them, they will log it in Jira to go into their sprint planning.

    We have a landing page for raising Jira Service Requests where people can advise of their issue and attach files etc. but some folks do just contact the Admins directly still.
