  • 1.  ROUTES: MULTI ASSET SPARE PART COST TRACKING

    Posted 08-15-2025 13:17

    Hello MORE Community,

I recently learned about Multi Assets on a single work order by setting up a route.

My question is, how can I associate spare part costs and spread them over the multiple assets instead of the main asset on the work order (I'd like to remove the main asset unless it is required)?

When I issue an inventory item it issues to the main asset on the work order instead of distributing that cost across the multiple assets.

For example, if it is a route to change air filters in multiple assets.  How can I spread the cost by how many air filters each asset needs?  Is this possible?

    Thank you in advance,

    Hi Danny

If there are four assets in the route and therefore also in the multi-asset list, I would recommend to issue each filter individually and specify the corresponding asset directly on issue in the detail section (charge information).

This shows clearly to which asset this filter was issued and the spare part (e.g. the filter) appears in the spare parts list of the asset. Furthermore, in the transactions of the spare part (inventory application) you see on issue and returns to which asset the spare part was issued.

Danny, we have several routes with multiple assets in each, (I.E Annual Generator Services), each Asset in the Route has an attached Job Plan with the required Labor, Material, Services and Tooling required for each generator. This way we get the all the required resources for each generator allocated to each asset. As no two generators are the same there are varied parts and other requirements for each unit. Easy to issue to each asset.

This may or may not help you.

    Regards, Greg

    Hi Greg,

To clarify your answer, are you using the child work order option?

I think your question already contained the answer.  The Multi-Asset/Location/CI thing is simply intended to make reference to a bunch of Locations, Assets, or Configuration Items (a Maximo IT thing) on a single Work Order, like if you wanted to know in great detail EVERY time an Asset had been touched, or what work is "open" / on a to-do list for a particular place or thing.

But it lacks the other features of Work Orders.  You can't do much of anything to schedule these separately, assign them separately, track expenses separately, track the full status lifecycle individually (other than the simple checkbox to indicate completing it).

So if you need some of these "more advanced" features, don't use the Multi-Asset/Location/CI option when configuring the Route.  Either use Tasks or full-powered Child Work Orders, depending on what all you need.  With both Tasks and Child Work Orders, you can use a Job Plan, which means you can plan parts and labor usage, which means you can record actuals usage.  MultiAssetLocCI lacks all this.  It's intended to be nothing more than a simple checklist.

    Hi Danny,

To capture costs against the individual assets, you either need to change to

    • Tasks.  Therefore, you need to tag task# when issuing the items.  This is because each task will have the asset. But you lose the ability to add a JP.
      • If you create a WO, then add the route, you again lose the ability to add a JP, but of course can still manually add additional tasks.
      • If you create a PM, add the route and a JP, when you generate a WO all is good, but is it?  You can certainly issue to the task #, but the actual assets are mixed with the JP tasks and looks like the following pic.  NB: I have used the description field on the route stop to have a custom summary.  If you don't then it will be the asset description.

    • Child work order. Each asset will, of course, now show up as a child work order, but you can have a JP assigned per asset.  However, unlike the tasks, you need to have the WO# as you need to issue to each child work order, which equals much more work.
    • Multiassetlocci. You must override the asset# when issuing the item to the work order.  Again, much more work and prone to error.

The simplest and easiest way is to use tasks.
