Maximo Asset Warranty Tracking

I have sat in on numerous presentations about the potential ROI for companies managing their assets using Maximo. One of the particular areas of interest for me is usage of Asset Warranty (AW) tracking and cost savings potential for organizations that implement this process within the native Maximo applications. 

As I see it, some of the benefits that can be realized by implementing a comprehensive asset warranty management solution within your organization may include: the ability to recover or avoid maintenance costs by ensuring that in-warranty repairs are filed with the vendor for reimbursement or fulfillment, ability to use historical claims records for future vendor negotiations and selections, prevention of voiding the vendor warranty due to lack of visibility of the existence and scope of warranty.

One feature of Maximo's AW solution includes the capability of documenting whether parts and labor for repair, rebuild, and/or replacement are included and for what duration. Also, the capability to notify the end user and supervisors of potential warranty claim situations and status is key to reducing the possibility of missed warranty claim opportunities. 

In my past experience as a Maximo consultant, I did not find many organizations using the Warranty tracking capabilities and so I am curious if that is still the case today. If not using AW tracking, why not? If so, what benefits have you realized?

The prompt that appears in current Maximo, 7.x, is created based on a warrant contract and here is a 5 minute video that describes the process https://youtu.be/dZ1hxsfKAUI. It sounds like you are using the asset.warrantyexpdate attribute, and that is still present, but it will not trigger the prompt.

Hi Julie - We use out of the box (ootb) Item Master module with Purchase Price Date and Warranty Expiration Date inspired from the Assets module. We have office chairs with 12 year warranties. The serial number is recorded with each expiration date that tells us what workflow to use (repair w/ vendor, repair in house, salvage for spare parts and/or discard).  If it is under warranty, the vendor comes onsite to repair it. If it is out of warranty, maintenance will determine if they can fix it (if they have time and spare parts). If not, the chair is salvaged for spare parts and discarded.

The warranty expiration date also allows us to create a crosstab/pivottable report to be generated for each business unit that lists all chairs that are at end-of-life (EOL). They find it useful for planning and annual budget requests.

From my experiences as a consultant, I believe this is more of a process issue from the standpoint of responsibility.  I think most are more than willing to use the feature and it would save them money, but it is lost at who has the responsibility to enter the information.  Normally, the person adding the asset to Maximo is not the one who tracks the warranty (if it is tracked at ALL elsewhere).  I think if the conversation is had at the spending level of the organization, it would get tasked and get done.  Curious to what others have seen.
