Following the successful completion of the Maximo Solutions User Group (MSUG) event, we are pleased to announce that recordings from each session will be made available to the community for extended engagement and discourse. We invite members to submit any further inquiries they may have for the speakers in the space provided below.

Session: User and AppPoint Management after an Upgrade to Manage

    Presented by: @Phil Runion, Projetech

Summary: Projetech presented on methods of managing users and AppPoints in the Maximo Application Suite. After performing an upgrade from 7.6.1 to Manage, Maximo, administrators are faced with many changes and challenges. One of these major changes is the addition of user management and AppPoint management in the Maximo Application Suite. This session will share some of the lessons that Projetech has learned after upgrading and managing Maximo Application Suite in our cloud.

Thank you to everyone that attended last week. I have included answers to some of the questions that were asked in the chat below.

Q: Multiple sessions of same user is any impact in terms of app points? like from web application as well as mobile app?

A: The Suite License Server will only check out the AppPoints once across all the sessions in a single environment. If you use multiple environments with one SLS server, it will also only check out AppPoints once if the user's ID and entitlements match. If their ID or entitlements are different then the user will check out AppPoints more than once if the user logs into both systems.

Q: Are the bars in the licensing consumption chart clickable to see the list of users?

A: The graph does not allow you to click in and see the list of users. That would be nice though.

Q: Is it possible to make this kind of query using APIs?

Q: Is it possible to query users and AppPoints consumption using rest APIs?

A: I believe you could pull any of the Manage data via an API. This would include the license usage data that MAS Syncs into the Manage database. You would associate an object structure to the tables and then query them via the Rest API. The consumption data from the SLS server doesn't have an API that I am aware of so I don't think you would be able to pull that.

Q: At what point are we worried about compliance. If there is one of those peaks where we exceed our allotment once a week, once a year, quarter, etc...

A: I recommend you keep the AppPoint licensing ceiling on so that users can't log in if there aren't AppPoints available. IBM has some wording that suggests that you could go over occasionally but there isn't a definition regarding how often you can go over and still be in compliance.

Q: Need more info on auditors, compliance, app points for non-production environments. What happens if we keep using 7.6.1.3 past the end of life, and end of sustained support, etc?

A: I can't say what IBM will do if you continue to use 7.6.x after it is past all extended support. I can confidently say that you will not be able to submit tickets to them. If you plan on staying on 7.6 the two dates that you should be aware of are April 2027 when dual entitlement ends. The other is Sept 2030 when all extended support ends.

Q: Will setting the entitlement lock users out of certain applications?
How do you manage this vs security groups?
For example, if someone has access to an HSE app but doesn't use it - will restricting them to a base user prevent that from accessing?
Or do you need to set the security group properly as well?

A: Manage still has security groups that control which applications are available to users. The entitlement settings in MAS only control how they check out AppPoints.

Q: If someone is using a mobile application (not maximo mobile) will logging in mobile consume app points? Or does it just open a session and close it?
Aka - will I be able to see who is using mobile real-time and the app point consumption

A: This depends on how the mobile application is configured to connect to Manage. I recommend reaching out to your mobile vendor to better understand how they are connecting.

Q: What happens if a Base user accesses a premium app? WiIl they be locked out?

A: If a user is set to Base in MAS but their Security Groups give them access to a premium application they would be out of compliance. The system won't lock them out, there will just be a mismatch between their access and entitlements.

Q: If we go to MAS 8 Cloud, does the user licensing app points are managed by the Vendor or the system admins will have the control?

A: This would depend on your cloud vendor and how much access they give you in MAS admin screens. The owner of the AppPoints will always have to generate a license key file to import into the SLS server. Once that file is generated with a specified number of AppPoints it would need to be imported to the SLS server via the MAS admin screens. In the case of Projetech's service this would need to be done by Projetech.

    Q: Dual entitlement ends when?

A: Dual entitlement ends in April of 2027.

Q: Why are you even looking at Non PRODs for licensing...thought that changed to PROD only?

A: My understand is that all users must be licensed both in production and non-production. This may have changed, and I am unaware. When installing MAS in production and non-production you are required to connect it to a SLS server with AppPoints but if the rules changed perhaps the architecture just hasn't changed to support the new rules yet.

    Q: Did you show how to correct the IBM Magic script for the duplicated lines:  (Select peakdate from MAGICVAR where RECID=1)));

A: I did not share any corrections or changes to the magic script.
