 Need Guidance: Maximo PR/PO approval thru email.

Id like to ask your assistance on how we can implement the PR/PO approval thru email?

Our PR/PO runs on WF based on delegation of authority. For transaction greater than 500k for example, this will route to our Plant Mgr.

However, our PM would like to have the options to receive the approval notice via email ( comm template - via workflow  is active, PM can receive notice), and at the same time to have an option inside the email (like approved, cancel link) to perform his routing in the maximo workflow instead of actually logging in to the system.

Appreciate any inputs and thanks to this group.

You can look at email interaction if you want them to respond to the email and have it process that way. We have a few pages in IBM docs that cover it: https://www.ibm.com/docs/en/maximo-eam-saas?topic=workflows-email-interaction-overview

You could also provide a link for them to quickly open and route but it would require them to authenticate into the system which it sounds like you're trying to avoid.

The main goal for asking is to allow our final approver of PO to route /approve the PR/PO request just by clicking the link on the email notification without them logging in to our vpn to access the maximo. It was actually one of the audit findings our internal auditors pointed out as main reason for the delay s on the approvals.

Darwin, I recently configured and implemented the email listener for exactly the same use case.

When the PO gets submitted for approval it sends an email to the approver with a copy of the PO Details report attached telling them they will be sent an email to approve or cancel this PO.  This is then followed by an email which has two options for them.... respond with a 1 in the body of the email to approve the PO, respond with a 2 in the body of the PO to cancel the PO.  When their email is received and processed by Maximo they will then receive an email telling them that the PO has either been approved or cancelled depending on what their choice was.

The reason for the two emails to begin with was a specific requirement to send an email with the PO attached.

I am going to be providing step by step instructions on how to do this at the next MaxTECH User Group meeting on March 31st, if you are not able to attend that meeting in person I will be happy to send you the instructions I will be providing.  This was done in a Maximo 7.6.1.3 environment using MS Outlook and OAuth 2.0 authentication for the listener.

I have done this in the past using an automation script, here is the the instruction

I tried Email Interaction but couldn't get it to work the way I like and it is too complex for me.

Clicking on a link isn't secure because you'll have to pass credential details in the link. Also, it doesn't work in your case as it requires you to be connected with VPN first, but you said you don't want that.

In this implementation, the user needs to reply with an answer 1 or 2 to approve or reject rather than clicking on a link.
