  • 1.  How to do a Service Cost receipt instead of a Quantity Receipt?

    Hello guru's,

    I have been trying to figure out how to receive services as a partial cost receipt, but cannot figure it out.

    I read on the IBM Help website for service receipts that we can have service lines that are lump sum lines.

    Our expectation is that we can do partial cost receipts against that lump sum line over and over until we've used up the total line cost.

    What we are trying to do:
    - Create a PO with 1 Service line for a lump sum say $5,000, with a qty of 1 since this is a lump sum line.
    - In receipts try to receive a partial cost receipt of say $1,000

    When I go to the receiving application and receive the ordered service, the cost fields are read-only.

    I have tried looking through system properties and Organization settings for some type of setting that enables cost receipts but cannot find any.

    I also noticed that if I create an invoice for the PO and put only a partial cost on the invoice line and approve the Invoice, it does record the partial cost receipt when I view the receipt in the Receiving application, so I know Maximo allows it.  Just cannot find a way to manually enter the partial cost receipt.

    Hoping someone in this fine community knows the answer.

    I am currently trying this in MAS 9.0, but have also tried in MAS 8.11 and Maximo 7.6.1.2 and they all are behaving the same.

    I had the same case for an implementation, but a workaround was placed by interchanging quantity with unit cost. This is only a workaround as the 3-way matching in Maximo is on the quantity and not the cost. Not sure if this will help as a solution to your business. 


    Interchange quantity with unit cost. Line 1 is what you do now. Line 2 is a workaround by interchanging quantity with unit cost. Line cost is the same.


    Receive partially:

    Line 1: calculate quantity to receive which recalculates received line cost

    Line 2: receive the cost you need to receive which recalculates the received line cost


    Receipts for Line 1: Quantity received to receive the partial cost

    Receipts for Line 2: Cost received on quantity field to receive partial cost

    As Niv pointed out, the receiving works on quantity, not the cost. So, there are only two choices. 

    Scenario: I have created a PO for a lump sum of $5,000 for services.  This is usually referred to as fixed price.  Note: This is not a release PO approach from a blanket purchase contract, but even then, you still have to do one of the two options and ensure that the "Can change quantity on use" is enabled for each line.

    The follow shows the outcomes of the two options.

    1. Swap the quantity and line cost.
      1. Quantity = 5,000
      2. Unit cost = $1.00
    2. Receive the quantity as a portion of the cost 
      1. Quantity = 1
      2. Unit cost = $5,000

    For option 1, when you receive the invoice, you simply take the invoice total as the receiving qty.

    For option 2, when you receive the invoice, you have to calculate the % being received at the qty i.e. I have an invoice for $2,278 or 0.4556.  An issue with this approach is that Maximo is currently set to two-decimal places, but to be accurate, I need four otherwise rounding will occur.

    Both options work it's just a matter of:

    • What most acceptable to your accounting department, or/and
    • What most easy for the end user to receive the services
