  • 1.  SMTP Error "SendAsDenied" when Sending Emails from BIRT

    Posted 01-19-2025 12:05
    Hi,

I am encountering an issue with email notifications sent from BIRT reports in my Maximo system. Below is the error from the logs:

    [1/19/25 19:29:56:676 AST] 000002d0 SystemOut     O 19 Jan 2025 19:29:56:676 [ERROR] [BIRT4] [] Email send fail exception occurred. Valid Unsent addresses: TO_EMAIL
com.sun.mail.smtp.SMTPSendFailedException: 554 5.2.252 SendAsDenied; FROM_EMAIL not allowed to send as TO_EMAIL; STOREDRV.Submission.Exception:SendAsDeniedException.MapiExceptionSendAsDenied; Failed to process message due to a permanent exception with message [BeginDiagnosticData]Cannot submit message. 1.84300:0A000000.

The mail.smtp.from property is configured in SMTP settings and the FROM_EMAIL is valid

I am looking for guidance to resolve this error:

How can I configure the necessary "Send As" permissions in the email server?
Are there any specific BIRT or Maximo configuration settings to ensure proper email permissions?

Any insights would be greatly appreciated.
    Thank you,
    Hari

    Hi,

I'm facing the same "SendAsDenied" error when scheduling BIRT report emails from Maximo. From what we've seen, Maximo is using the logged-in user's address as the sender, but the SMTP account doesn't have permission to send as that user.

Has anyone found a way to configure Maximo or Exchange to resolve this without heavy customization?

    Thanks,

    Sarath

I'll start with please vote for this idea: SendFrom option for | IBM Sustainability Software - Ideas Portal

The high-level synopsis is you need to change the user the report executes as in order to change the send from. This is done by changing the USERID on the REPORTRUNQUEUE object. There are examples online (including one in the comments on the idea) but I haven't seen a full blog post that does everything you should do and isn't something I have had time to fully document what we do and why. There is the concept of private QBRs (BIRT reports developed by a user and only accessible to the user). If a user tried to run these reports, they would no longer be able to do so. We had to add additional components to add a security group to all private QBRs, put everyone in the new security group & ensure all new users get added to it, implement a data restriction to still make these reports private, etc.
